DeviceMagic - Updating Customer Records

Since Feb 2024, a data link has been made between the Monday.com board system and the data on the Engineers DeviceMagic Form App.. This dokit describes how to correctly update and maintain the customer / machines / contacts data using the Monday boards.

Customers

Adding a New Customer or Changing Details

  1. On Customer Board, Update or add new customer details
  2. Change the DevMagic column to "Update"
  3. On success, it will change to "Updated"

Deleting A Customer

Customer no longer has any Stuga Machines

  1. On Customer Board, Change the DevMagic column to "Disable"
  2. On success, it will change to "Disabled"

Machines

Adding A New Machine

When a new machine is delivered

  1. On Machines Board, Update the details
  2. Change the DevMagic column to "Update"
  3. On success, it will change to "Updated"

Changing Ownership

For example, machine is purchased by Stuga or another customer

  1. On Machines Board, Update the details
  2. Change the DevMagic column to "Update"
  3. On success, it will change to "Updated"

Deleting a Machine

  1. On Machines Board, change the DevMagic column to "Disable"
  2. On success, it will change to "Disabled"

Customer Contact Details

Adding New Customer Contact or Change Existing Details

  1. On Customer Contacts Board, Update or add new customer details
  2. Change the DevMagic column to "Update"
  3. On success, it will change to "Updated"

Deleting Customer Contacts

  1. On Customer Contacts Board, Change the DevMagic column to "Disable"
  2. On success, it will change to "Disabled"

Default Customer Contact

This is the customer contact that service reports are set to by default, no matter who is chosen on the Device Magic form

  1. On Customer Contacts Board, Change the "DevMagicDefault" to Yes
  2. Change the DevMagic column to "Update"
  3. On success, it will change to "Updated"

Appendix

Technical details...

The boards trigger Zaps in Zapier to update the Google Sheet "DeviceMagic Data v2".

This sheet is stored under the user stugaservice@gmail.com and must ONLY be updated under this username, else the DeviceMagic form will not take the update
